QPGCA is an established community association in the Qualicum – Graham Park Area in Ottawa. QPGCA runs a range of community programmes including a highly successful afterschool community programme (Kids’ Club) which has for been in place for over 25 years.

Our mission is to provide a daily after school programme for children in our neighbourhood, where 30-35 children in Grades 1 to 6 can safely play, develop social skills, build friendships and explore & develop other important life-skills, by means of indoor and outdoor games and arts. The programme usually employs professional adult staff, who are well supported by local high school students rotating in daily shifts. Kids’ Club is an important and highly valued community-building programme.

The Kids’ Club Programme Director (KCPD) will be required to manage the daily programme, its business and legal requirements.

Managing the daily programme

  • Accountable for ensuring that the Kids’ Club programme maintains an emotionally and physically safe environment for children and staff
  • Ensure that health and safety rules are followed
  • Along with your team of adults and teenage helpers, supervise children in grades 1-6, both indoors and outdoors
  • Manages participant behaviour in a positive and supportive manner
  • Develops a programme of recreational activities that balances time for free play with structured indoor and outdoor games and activities
  • Organizes a program of educational support that provides time for participants to work on homework with the support of local high school students
  • Organizes special events, such as programmes for PD Days (when there is sufficient demand)
  • Provides site-based support, development, and recognition for all staff in the Kids’ Club program
  • Ensures children and their families are properly informed and prepared for participation in the programme and special events through communication that includes regular newsletters
  • Cultivates and forges positive relationships with parents, caregivers and other key constituents in the community
  • Liaises with City of Ottawa about any site maintenance issues
  • Tracks and cares for all equipment and supplies used by Kids’ Club
  • Collaborates with QGPCA on program delivery to align Kids’ Club with the association’s goals in relation to the afterschool program

Managing the Business

  • Creates staff schedules and ensures appropriate record keeping and reporting of attendance for both staff and children
  • Responsible for recruitment and supervision of participants, and all staff including adult and teenaged helpers
  • Assists QGPCA treasurer in ensuring budgetary compliance and with submission of any required documents or reports to funding sources
  • Ensures that student attendance and financial information is being properly collected and delivered to QGPCA treasurer, on a monthly basis
  • Ensures that new hires have taken appropriate steps prior to beginning work assignments (i.e., background clearance, including up to date police checks and First Aid certification, and all required HR paperwork completed)
  • Ensures timesheets are accurately completed and submitted to Payroll on time
  • Maintains accurate records on site (i.e., file box, staff files, program flyers, materials, schedule and programme curriculum)
  • Purchases supplies and equipment as required and maintains financial records of purchases

Managing Legal and Regulatory Requirements

  • Ensures that the program meets all compliance and safety requirements set forth by QGPCA and applicable legislation and regulations
  • Ensures site is compliant with all applicable and required regulations
  • Monitors and ensures all program compliance, including but not limited to student registration, ratios, attendance tracking, IDs
  • Reports site injuries via appropriate forms and immediately communicate incidents to parents and QGPCA, and the city of Ottawa when appropriate
  • Familiar with and adheres to regulations and procedures for field trips, transportation and events

Skills and Qualifications

  • Bachelor’s degree or diploma preferred with Education, Psychology, or Social Work a
    desirable priority
  • Prior work experience in early year education, including supervisory experience
  • Passion for QGPCA Kids’ Club mission, early childhood education and (teen) youth development
  • Must pass pre-employment background investigation including but not limited to employment history, reference and criminal background check
  • Reliable, organized and punctual
  • Knowledge of effective sports, arts, and academic programming relevant for different age groups
  • Understanding of child development and experience with behaviour-management strategies
  • Strong leader and team-builder
  • Ability to resolve conflicts and negotiate solutions
  • Ability to establish and maintain effective working relationships with program staff, parents and other partners
  • Excellent communication (oral and written) and interpersonal skills with proven ability to interact with a diverse range of individuals both in person and digitally
  • Must have excellent organizational, time management and follow-up skills
  • Up to date First Aid certificate
  • Proficiency in Microsoft Excel, Outlook, and Word
  • Basic bookkeeping skills

Schedule:

  • Must be available weekdays from approximately 2:30 – 5:30 PM (exact time depends on school and bus schedules)
  • Approximately 5 additional weekly administrative hours can be completed at any time
